Dyer Engineering is a group of fabrication and machining businesses that manufacture metal components and structures. They also provide maintenance, repair and overhaul support services to keep equipment, facilities and processes running.

With a purchasing team of 10 managing over 100 active suppliers and 100+ active orders, Dyer Engineering needed to improve visibility across orders, efficiently query inventory and ERP data, and resolve cross-department bottlenecks. Dyer Engineering’s ERP-based workflow left a gap in their post-purchase order (post-PO) management process. Manual methods like spreadsheets and emails were used to manage hundreds of suppliers and active orders, creating operational inefficiencies.

  • Manual Order Confirmation and Supplier Follow-Up
    After placing purchase orders, Dyer’s purchasing team manually followed up with suppliers to receive order confirmations and status updates. This involved extensive back-and-forth communication, taking up to 70% of an average workday. Updates were tracked on spreadsheets, prone to error and offering little visibility.

  • Manually Tracking PO Revisions
    40% of POs are changed after being raised in their ERP. These revisions were manually tracked using spreadsheets and emails, creating risk of missed updates and inaccurate order information.

    Receiving documents required multiple follow-ups with suppliers. Documents such as material certificates, invoices and delivery notes were often delayed, increasing operational risk.

    The Procurement Champion automates routine post-purchase order (post-PO) supplier follow-ups, including requesting order confirmations and gathering weekly updates. Integration with EPICOR enables data to be pulled and pushed automatically, ensuring updates are reflected in the ERP.

  • Automated Document Management
    Missing documents are automatically requested ahead of delivery dates. Received documents are uploaded directly into EPICOR and SharePoint, reducing manual effort and improving consistency.

  • Real-Time Alerts and Exception Management
    The Procurement Champion scans hundreds of emails daily to provide alerts for unacknowledged orders, PO revisions and missing documents, enabling teams to manage by exception.

  • Natural Language ERP Querying
    Internal teams can query the Procurement Champion on ERP data to quickly access information on orders, inventory and supplier status without navigating multiple systems or spreadsheets.

  • Improved Visibility and Collaboration
    Real-time access to data reduces dependency on procurement teams, improving cross-functional collaboration and enabling faster decision-making.
