Call Invoice Recording is a complementary function to Call Activity Recording. It is especially important for businesses that do not invoice directly from CAR. But all users will find the high level overview of costs a useful management feature.

The Invoice From Recording field in SSM Accounting Control (36.9.10) enables management to control where pending invoice records can be created. If this field is set to Yes, the individuals recording call activity in CAR can generate the corresponding invoice. If this field is set to No, then Call Invoice Recording is the only place invoices are generated for call activity.

Call Invoice Recording gives supervisory personnel a tool for reviewing call activity on a call-by-call basis. Summary screens display costs and invoiceable amounts arranged by invoice sort and charge code type. Details for each item on the call can be reviewed, and pricing modifications can be made. Modifications to prices are reflected in CAR when the call records are reviewed. Call activity details are displayed in frames that are very similar to those used in CAR.

Using CIR, managers can ensure that all information is correct and that there are no data entry errors or needed adjustments before an invoice is printed. Standard sales order trailer information can also be reviewed and updated. If any changes are made in CIR, the invoice is regenerated automatically when the program is exited.

The information displayed in Call Invoice Recording screens is based on the activity recorded and codes used in Call Activity Recording. Some modifications to currency amounts can be made in CIR; however, more fundamental changes must be made in CAR and the invoice regenerated based on those changes.

For example, item issues take place in CAR. Changes cannot be made to item quantities later in CIR, since this would lead to errors in actual inventory amounts. Similarly, charge codes, work codes, and service categories cannot be changed in CIR, since they control the underlying detail that is being summarized in CIR. For this reason, many of the fields in CIR are display only and cannot be modified.

Pricing information is the main kind of data that can be modified in CIR. List price, net price, exchange price, and covered amount can be changed. Any changes made to prices in CIR are reflected in CAR. If the covered amount is changed and contract limits are effective, contract consumption is recalculated.
