WHAT IS PROCESS MANAGEMENT?
Process management is a systematic approach for ensuring effective and efficient business processes are in place. It is the ability of a company to ensure, through its processes, the efficiency and productivity of its organization for better profitability and greater customer satisfaction.
What is a Business Process?
A company can be represented as a network of flows (processes) that cross it to bring a product or a service (value) to its customers. These processes can occur at all parts of an organization and often start from the needs and expectations of customers and run through the company while respecting quality, cost and deadline objectives
As a result, there are many methodologies and tools have been developed to optimize processes in order to support companies growth.
METHODOLOGIES TO IMPROVE BUSINESS PROCESSES
Kaizen
Kaizen is the Japanese word for “good change” (Kai = change, Zen = good) and describes the methodology of continuous improvement that is applied to business functions at all levels of an organization and its processes. This method aims to make small changes to the process every day. The constant search for solutions to the smallest problem makes change more accessible because it is done in small steps. More than a methodology, Kaizen has also become a state of mind in organizations using it.

Lean Management
Lean management is a methodology that was formalized by American researchers at the Massachussets Institute of Technology (MIT). Lean Management” is an English expression whose term “lean” is evocative, it means “fat free” or “lean”. The very principles of this methodology are to eradicate the unnecessary wastefulness and to focus on what brings value by applying the Muda, Mura, and Muri, the Japanese words referred to in the “3Ms” of the lean management model.
Muda, Mura, and Muri in lean manufacturing refer to:
- Muda = Wastefulness. Muda refers to any activity that does not add value to the creation of the product or service for the customer
- Mura = Unevenness or Variation. Mura refers to inconsistencies in business operations; leading to fluctuations in production.
- Muri = Overburden. Muri is referred to as putting too much stress and strain on people and machines.
While reducing Muda (waste) is the goal of the lean manufacturing methodology, Mura (inconsistencies) and Muri (overburden) are important to identify as they often are the causes for unnecessary wastefulness in the processes.
3 Steps of Lean Manufacturing
To apply 3M methodology, a business can review their processes and take the following steps:
- The elimination of actions and activities in a process that do not bring value.
- The elimination of unnecessary and counter-productive process variations.
- The elimination of excesses: everything that induces constraints or unreasonable efforts of the employees or even of the company’s resources.
Examples of lean management “waste” to look for:
- Transport: Unnecessary transfer of products or materials from one location to another
- Inventory: All components, work in process, and finished product not being processed
- Motion: Excessive or unnecessary movement of a person or machine to perform the operation
- Waiting: Any act of waiting before performing the next step in the process
- Overproduction: Producing beyond what is expected
- Over Processing: Doing more than what is necessary to process a product or service
- Defects: Products that do not meet quality standards and result to rework

Six Sigma
The main objective of Six Sigma methodology is to deliver products or services that comply with the customer promise. Compliance will depend largely on the variability of the processes: once a process has been defined, the Six Sigma methodology ensures that the difference between the process operated and the target process does not exceed Six Sigma (or 6 times the standard deviation – Sigma in Greek).
Therefore, this methodology is applied to constantly measure the conformity of the processes operated in the field. The more homogeneous and similar they are, the more the customer promise will be respected and the product accepted by the final customer. It was originally applied in the industrial sector and then spread to all the company’s processes: administrative, R&D, sales, etc.
Advantage of Six Sigma:
the emphasis placed on the quality of the processes and therefore the quality of the products/services delivered. Customer satisfaction is mostly achieved because the promise is delivered.
Lean Six Sigma
Lean Six Sigma has naturally imposed itself by combining the best of Kaizen and Lean Management methodologies: fighting waste and achieving a high level of quality.
DMAIC is the acronym used to identify the 5 Lean Six Sigma phases:
- Define
- Measure
- Analyze
- Improve
- Control
In theory, there is no methodology specific to Lean Six Sigma, but the two are used in a complementary manner: you decide to rationalize your manufacturing processes by applying Lean, which will cause changes and difficulties in your processes. Variations will then appear: you will use Six Sigma to resolve these new variations.
